How to Use This Worksheet

  1. 1

    Add a fill-up entry

Click 'Add fill-up' to add a new row. Each row represents one visit to a gas station. Fill in the date, the station name or location, the number of gallons you pumped, and the price per gallon from the pump.

  2. 2

    Watch totals update automatically

As soon as you enter gallons and price per gallon, the Total column calculates the cost for that fill-up. The summary cards at the top update in real time, showing your total spent, total gallons, and average price.

  3. 3

    Set a monthly budget (optional)

Enter a target monthly spending amount in the Monthly Budget field. A progress bar will appear showing how much of your budget you have used. It turns red when you go over budget.

  4. 4

    Check your fill-up snapshot

After logging three or more fill-ups, an insight panel appears below the log showing your highest and lowest fill-up costs, average per fill-up, and average gallons. Use this to spot spending patterns over time.

How the Totals Are Calculated

The worksheet uses straightforward math. There are no estimates or assumptions — every number comes directly from what you enter.

Fill-up total

Gallons × Price per gallon = fill-up cost

Example: 12.5 gal × $3.459/gal = $43.24

Total spent

Sum of all fill-up totals

Example: $43.24 + $38.90 + $51.75 = $133.89

Average price per gallon

Sum of (price/gal per fill-up) ÷ number of fill-ups

Example: ($3.459 + $3.399 + $3.519) ÷ 3 = $3.459/gal average

Budget remaining

Monthly budget − total spent = remaining

Example: $200 − $133.89 = $66.11 remaining

Tips for Reducing Your Gas Budget

Log every fill-up consistently

The more fill-ups you record, the more useful the snapshot becomes. Consistent logging makes it easy to spot when your average price or volume starts creeping up.

Compare your average to the national rate

Check GasBudgeter's Gas Price Tracker to see the current national average. If your logged average is higher, it may be worth finding a cheaper station nearby.

Reduce highway speed

Fuel efficiency drops significantly above 60 mph. Slowing down slightly on longer drives can lower your fuel use and reduce how often you need to fill up.

Combine errands into one trip

Multiple short trips from a cold engine use more fuel than one longer trip. Planning stops together saves both time and gas.

Check tire pressure monthly

Under-inflated tires increase rolling resistance and reduce MPG. Keeping tires at the recommended pressure is one of the easiest ways to improve efficiency.

Set a realistic monthly budget

Look at your past fill-ups to calculate a realistic monthly average, then set your budget slightly below that. The progress bar will nudge you to be more conscious about each fill-up.

Frequently Asked Questions

What is this gas budget worksheet?
It is a fill-up log that records every time you pump gas. You enter the date, station, gallons pumped, and price per gallon. The worksheet automatically calculates the total for each fill-up, running totals across all entries, and your average price per gallon. Everything is saved in your browser so it persists between visits.
How is my data saved?
Your fill-up log is stored in your browser's local storage. No account or login is required. The data stays on your device and is never sent to a server. It will persist until you clear your browser data or use the 'Clear all entries' button.
What does the monthly budget field do?
When you enter a monthly budget, a progress bar appears showing how much of your budget you have used. It turns amber when you are above 80% and red if you go over budget. The summary card in the top-right updates to show how much you have remaining or how much you are over.
How is the fill-up total calculated?
Each row total is simply gallons × price per gallon. For example, 12.5 gallons at $3.459 per gallon equals $43.24. The worksheet handles the math automatically — you just need to enter the two numbers.
Can I track multiple vehicles?
The worksheet tracks one vehicle at a time. If you have two vehicles, you could use the log for the vehicle you fill up most often, or note the vehicle name in the Station / Location field to keep entries separate.
What happens if I accidentally clear all entries?
The 'Clear all entries' button asks for confirmation before deleting anything. However, once confirmed, the data cannot be recovered from within the tool. If you want to preserve your log, copy the totals to a note before clearing.
When does the fill-up snapshot appear?
The insight snapshot panel appears automatically once you have logged three or more fill-ups. It shows your highest fill-up cost, lowest fill-up cost, average per fill-up, and average gallons pumped.
What does average price per gallon show?
It is the simple average of the price per gallon across all your fill-ups. This is useful for tracking whether you are consistently finding good prices or whether your fuel costs are trending up over time.
Can I use this to reduce my gas spending?
Yes. Logging every fill-up helps you spot patterns — for example, if you tend to fill up at higher-priced stations or if your gallons per fill-up are increasing, which could signal a drop in fuel efficiency. Comparing your running total to your monthly budget keeps you accountable.
Is there a limit to how many fill-ups I can log?
There is no hard limit within the tool. However, browser local storage has a size limit (typically 5–10 MB). For most users logging weekly fill-ups, you could track years of data before approaching any limit.
